I led a series of projects on our responsive WebApp, striving to create a cohesive singular platform to handle all HR needs. Features ranged from Hiring new employees, tracking Time Off, and getting correct information into Payroll on time.

Automating the Hiring Process

We'd been getting a lot of positive feedback around the hiring process; being able to get a broad 30-foot-view, while also being able to get granular details about each candidate. The biggest problem was how much time Hiring Managers were spending communicating with all the candidates. We heard that some people were spending up to 10 hours a week trying to keep track of who they've contacted and what was last said.

As a team, we found two solutions that would greatly improve the experience: Stage Actions, and Messaging. I lead the project for Stage Actions, while Josh (the other UX Designer on our team) lead the Messaging project.

Stage Actions

The hiring pipeline in Eddy contains the Stages the candidates go through before getting hired as an employee, or rejected for the position. Some common Stages are "Application", "Phone Interview", "Interview with Hiring Manager", "Offer", "Hired", etc. In Eddy, these are customizable to match the hiring process of your company, or the specific positions needs.

Stage Actions are actions that happen inside a Stage. For the "Phone Interview" stage, I noticed that Hiring Managers would copy the same email from a different candidate, change the information to match the current candidate, and then handle that communication in their email provider. These emails would often get lost in the email void. By creating an Email Template in Eddy and attaching it as a Stage Action, when a Hiring Manager moves a candidate to the "Phone Interview" stage, Eddy sends that email automatically to the candidate. Stage Actions can also be sent to an employee, if needs be.

The features in Eddy are phenomenal. The WebApp has made it so much easier for us, our processes were such a disaster before.

Requesting Time Off

The HR Admins that I spoke with said that Time Off requests were one of the biggest reasons they wanted to quit their job. They never knew if the information was correct, and didn't have the time to keep up with it. Some had mentioned spending 10 - 20 hours per pay period managing and resolving Time Off hours.

It has been tremendously helpful getting things centralized for our company. Some employees are still used to verbally requesting time off, but having it in Eddy makes it easier for us to ask them to submit a request so that we can actually keep track of it.

The goals for Time Off were to create a simple way to create policies, increase transparency for employees and admins, and feed the correct information into payroll. This was accomplished by creating a simple, easy to follow set up guide that explained what each piece of information meant while setting up the policies. After adding employees to a policy, that information showed up in their profile, there is no more guessing how much time has been accrued, how to accrue hours, and being able to submit a request for time off. Everyone is on the same page inside of Eddy.

Payroll reports

Since adding Time Tracking, and Time Off capabilities into the app, we have had to be more careful about displaying that information for payroll purposes. We have two main reports that are used for payroll the "change history" report, and the "pay period" report. Between these two reports we are able to gather all the necessary information that eddy provides to run payroll.

The Change History report is a compiled list of changes made that may reflect on payroll, such as names, birthdays, mistyped SSN, etc. Having this in one place makes it easier, and far less time consuming than Admins or Payroll support staff having to comb through each employee's information for each company to see if anything had changed.

The Pay Period report gathers tracked time, time off, and holidays and calculates the hours. This report can be accessed through the eddy support tool if they run payroll through eddy, or can be exported and sent to their own payroll providers if they opt to not use eddy.
